Most parents are not disorganized. They are outnumbered. A single school week can send forty messages across email, a parent portal, two class group chats and a paper folder in a backpack — and roughly four of them contain something you must act on.

Sort by what it asks of you
Every school message falls into one of four buckets. Name the bucket before you do anything else.
- Do: a form, a payment, a signature, an RSVP. Has a deadline.
- Diarize: an event, a field trip, a spirit day, an early dismissal. Needs a calendar entry.
- Prepare: bring a white t-shirt, pack a lunch, send in canned goods. Needs a shopping or packing note.
- Read: newsletters, principal updates, the yearbook photo drive. Nice to know, no action.
Only the first three deserve your attention on a Tuesday night.
Give every action a home the same day
An action that lives in your head or in an unread email will be missed. Move it once, immediately:
- Anything with a deadline goes on the calendar with the deadline in the title, not the event date.
- Anything you need to buy goes on one shared shopping list.
- Anything someone else can handle gets sent to them that evening, with the date in the message.
Decide who owns the inbox
Two parents both half-reading school email is how a permission slip goes missing. Pick one person per child, per term, to be the one who reads and routes. The other parent gets the short list, not the raw feed.
Do a ten-minute Sunday pass
Once a week, open the calendar for the next fourteen days and ask three questions: what needs to be bought, what needs coverage, and what needs a reply. Fourteen days is far enough ahead to fix a problem and close enough that the answers are real.
The goal is not an empty inbox. It is a week with no surprises in it.
